FORWARDER PROCESS

Five steps for forwarders

  1. Open a run

    Set the schedule, terms, rate, and expected US-side charges to open a run, and assign the US forwarder who takes over in the US. A brand's request holds a spot only after you approve it.

  2. Pickup and export clearance

    Collect the cargo yourself, or check the tracking number on cargo the brand ships, and record receiving, measurements, loading, containers, and B/L. Record the export declaration result your customs broker filed, and the brand is notified on its connected messaging channel once it clears.

  3. Ocean freight

    Cross the Pacific. The documents go to the US forwarder in four steps, from booking confirmation to updates, with a warning if loading data comes later than 24 hours before loading. The Korean forwarder records sailing and US port arrival, and the US forwarder is notified when assigned, when loading data is handed over, and when the vessel departs.

  4. US customs

    The US forwarder enters the arrival notice (A/N) and last free day (LFD), which the brand sees too, and records in KWAVE the ISF, AMS, customs, and CBP release handled with its customs broker. For warehouse-bound cargo, CBP release creates the warehouse's expected receipt (ASN) automatically.

  5. Inland trucking and final delivery

    Send cargo to the warehouse, or straight to the buyer's delivery address when the shipper chose direct to buyer. Supported carriers update delivery status from the tracking number; for others, the forwarder marks it delivered. Destination-change requests are approved with a fee attached and take effect once the shipper accepts that amount.

BROKER · CARRIER

Customs brokers and carriersare managed by the forwarder.

Customs brokers and carriers work without a KWAVE account. Their filing results and shipping details are recorded by the forwarder they work with, and supported carriers update delivery status automatically.

  1. Partner setup

    Forwarders register the customs brokers and trucking partners they work with, along with contracts, proof of insurance, and rate sheets, and link them to a run or an export case. Carriers go on the forwarder's own carrier list.

  2. Korean export declaration

    The Korean forwarder records the result from the broker it hired. The brand is notified on its connected messaging channel when export clearance comes through.

  3. US import clearance

    The US forwarder records the ISF, AMS, customs, and CBP release handled with its broker.

  4. Pickup and delivery tracking

    Once a tracking number is entered for Korean pickup or US delivery, supported carriers update delivery status automatically. Forwarders paste partner notice emails into the Forwarder desk, their AI agent, and approve the status changes it proposes.

How it works

  1. Korean forwarder · Open a run

  2. Korean forwarder · Pickup and export filing

    Collect the cargo yourself and enter the pickup details, or check the tracking number on cargo the brand ships itself, then record receiving, measurements, loading, containers, and B/L. Your partner customs broker files the export declaration and you record the result; the brand is notified on its connected messaging channel once it clears.

  3. Korean forwarder · Handoff and sailing

    Hand off documents to the US forwarder in four steps, from booking confirmation to updates, with a warning if loading data comes later than 24 hours before loading. Record sailing and US port arrival.

  4. US forwarder · Arrival notice and customs

    Check the documents handed to you, then enter the arrival notice (A/N) and last free day (LFD), and the brand sees the same dates. Record the ISF, AMS, customs entry and clearance, and CBP release handled with your partner broker; for warehouse-bound cargo, CBP release creates the warehouse's expected receipt (ASN) automatically.

  5. US forwarder · Warehouse or direct delivery

    Send cargo to the warehouse, or straight to the buyer's delivery address when the shipper chose direct to buyer. Supported carriers update delivery status from the tracking number; for others, you mark it delivered.

  6. Both forwarders · Billing by leg

    The Korean forwarder bills Korea-side charges and the US forwarder US-side charges, by line item on their own invoices, and the brand pays each forwarder directly. The US forwarder approves destination-change requests with a fee attached, and the change takes effect once the brand accepts that amount.

FAQ

Frequently asked questions

How are quotes made?

KWAVE does not quote. Korean forwarders post a rate per pallet or per CBM and the expected US-side charges when they open a run, and each forwarder bills actual charges by line item on its own invoice, from measured cargo and its rate table.

Who takes care of customs documents?

Forwarders, customs brokers, and the system prepare them together. Brokers file and forwarders record the results, while brands draft the commercial invoice and packing list and follow a category document checklist in KWAVE.

What happens if there is a delay?

When a run's cutoff, sailing date, ETA, or rate changes, brands on that run are notified in the Slack, Telegram, or Discord channel they connected.

Do customs brokers and carriers need KWAVE accounts?

No. They work through you without KWAVE accounts. Brokers and inland trucking partners are registered with their contract and insurance files, carriers go on your separate carrier list, and you record the results.

Who decides the HS code?

The customs broker does. KWAVE only shows candidate codes and an estimated duty.

How do I get paid?

Korean forwarders itemize Korea-side charges and US forwarders US-side charges, each on its own invoice per export case, and the brand pays each forwarder directly to the account on the invoice. You mark it paid once the money arrives; KWAVE is not a party to this transaction.
